The second order is often where assumptions become visible. A supplier may receive a different sheet stock, a similar insert may be easier to obtain, or the purchasing team may reuse an old quotation without reissuing the latest drawing.
For enterprise procurement, repeatability means controlling the relevant configuration—not assuming a familiar part number guarantees the same construction.
Specify the properties that matter
A material description should identify the grade and any temper, thickness, finish or other condition required by the drawing. Similar appearance does not establish equivalence. “Stainless” and “aluminum” are material families, not complete procurement specifications.
For hardware, identify the approved part or specification and the attributes important to the assembly. Depending on the design, these may include thread, installed height, panel-thickness range, material, finish and retention requirements.
| Item | Do not accept as the only definition | Better controlled input |
|---|---|---|
| Sheet material | Same-looking metal | Released grade and required condition |
| Insert | Same thread size | Approved type, fit range and relevant attributes |
| Finish | Same color name | Controlled finish specification and acceptance |
| Bought-out item | Supplier’s equivalent | Documented approval or approved alternative |
Separate pre-approved alternatives from concessions
An approved alternate belongs in the controlled specification or approved list. A one-time concession has a defined scope, such as an identified order or lot. They should not be treated as the same authorization.
A supplier substitution request should identify the original item, proposed alternative, affected quantity or orders, reason for the request and the properties requiring review. The OEM’s designated approver decides whether additional evaluation is needed.
Do not let an email saying “okay for this batch” become the undocumented standard for future production.
Check the manufacturing effect
A material or hardware change can alter fabrication even when the final outline stays the same. Forming behavior, installation conditions, finish compatibility and the fit of the mating part may need review.
PEM’s self-clinching technology overview highlights the relationship between the fastener and the sheet into which it is installed. Use the selected product’s current technical data for project decisions rather than treating every insert of the same thread size as interchangeable.
Keep the records proportionate and useful
Agree which records must accompany the delivery and which must be retained by the supplier. If traceability is required, define the link between the shipped parts, manufacturing lot and relevant material or hardware records.
A certificate without a clear relationship to the supplied order may not satisfy the intended requirement. Conversely, demanding every possible document can add cost without improving the actual control. Specify the evidence needed for the product and contract.
Make repeat-order review a short gate
Before production resumes, compare the current purchase order, drawing package, BOM, approved changes and prior deviations. Confirm whether the earlier pilot approval remains applicable.
An illustrative example: the OEM approves a different insert for a prototype because the normal item is unavailable. The repeat order returns to the original specification unless the permanent design record was changed. The supplier should not have to infer that decision from a photograph of the prototype.
What to put in the next RFQ
Ask the fabricator to confirm the released configuration, identify proposed deviations before manufacture and preserve agreed records. Include the approval route for substitutions and define whether a change triggers sample or fit verification.
This applies to medical component kits and OEM rackmount chassis alike. Coordinate it with drawing revision control so commercial reordering and engineering release do not run on different versions.
